Introduction

We are seeking a professional agency or service provider to execute a 6 day on ground Vehicle activation campaign targeting smallholder farmers across key agricultural regions (TransNzoia, Kajiado & Nakuru). The objective is to increase awareness, engage farmers, and drive adoption of our products/services through interactive demonstrations and direct engagement.

Scope of Work

The selected provider will be responsible for:
Vehicle Branding & Setup – Fully branded activation Vehicle with promotional materials (banners, flyers, PA system, etc.).
Route Planning & Execution – Deploying  the Vehicle in strategic farming regions based on farmer density and potential.
Farmer Engagement Activities – Live product demonstrations, free sample distribution, expert talks, and registration of farmers for follow-ups.
Marketing & Awareness – Pre-event promotion via SMS, radio, WhatsApp groups, and posters to ensure maximum farmer turnout.
Data Collection & Reporting – Capturing farmer details, tracking engagement, and providing impact assessment reports.

Project Overview

Period of Activation (March - Jun) 

UjuziKilimo is planning to run an  on-ground Vehicle activation campaign across three counties—Trans Nzoia, Kajiado, and Nakuru—to enhance farmer outreach, drive soil test conversions, increase FarmSuite app users, and onboard agrodealers. This initiative will leverage a combination of direct farmer engagement, branding, entertainment, and strategic partnerships to achieve set objectives.

Objectives

The primary goal of the Vehicle activations is to:

  • Farmer Outreach: Engage and educate small-scale farmers on precision farming, soil testing, and the benefits of using UjuziKilimo services.
  • Soil Test Conversions: Conduct live demonstrations and sign up farmers for soil testing services.
  • FarmSuite App Users: Achieve at least 500 FarmSuite app users per county.
  • Agrodealer Onboarding: Register at least 50 agrodealers per county to promote precision farming solutions.

Target Audience

  • Smallholder farmers involved in crop farming.
  • Farmer cooperatives and community farming groups.
  • Agro-dealers and local input distributors.
  • Agricultural extension officers and local influencers.

Activation Strategy

  • Mobile Vehicle/Truck Setup: A branded Vehicle/truck equipped with banners, posters, PA systems, and interactive materials.
  • Route Planning: Selection of key farming regions based on market potential and farmer density.
  • Engagement Activities:
    • Live product demonstrations
    • Free samples and trials for farmers.
    • Expert talks and Q&A sessions.
    • Testimonials from existing farmer customers.
    • Registration for discounts, loyalty programs, or future promotions.
    • Digital engagement via QR codes for further resources.

Execution Plan

  • Pre-Activation (2 weeks prior)
    • Identify and secure approvals for activation locations.
    • Coordinate with local authorities, cooperatives, and influencers.
    • Promote activations through WhatsApp farmer groups.
    • Train activation team on engagement strategy, key messaging, and data collection.
  • Activation Days (2 weeks campaign, 3 activations per week)
    • Deploy Vehicles in high-footfall farming areas.
    • Execute planned engagement activities.
    • Distribute promotional materials (flyers, product samples, branded merchandise).
    • Capture farmer details (name, contact, farming type) for follow-up.
    • Collect feedback on farmer needs and challenges.
  • Post-Activation
    • Follow up with farmers through SMS or calls.
    • Analyze collected data and farmer feedback.
    • Assess impact and conversion rates.
    • Plan improvements for future activities.

Team Composition

  • Activation Manager (Oversees strategy and execution)
  • 15 Agents from the service provider (Engage with farmers and drive conversions)
  • Product Specialists (Conduct demonstrations)
  • Logistics & Operations (Ensure Vehicle setup and movement)
  • 5 UjuziKilimo Representatives for technical support, farmer engagement, and agrodealer onboarding. 

Deliverables

  • Branded activation Vehicles with promotional materials.
  • Farmer engagement reports with participant data.
  • Sales conversion and lead tracking metrics.
  • Photo and video documentation of activations and farmers testimonials. 
  • Impact assessment report with recommendations.

Budget Considerations

  • Vehicle branding and equipment setup.
  • Activation team, compensation and allowances.
  • Logistics (fuel, logistics, permits). 

Success Metrics

  • 5000 - 10000 Number of farmers reached and engaged.
  • 1000 Leads generated and conversions achieved.
  • Farmer feedback and satisfaction levels.
  • Increase in product awareness and demand.

 Flyers, posters, Banners, T- Shirts and Reflectors to be provided.

Reporting & Monitoring

  • Daily Performance Tracking: Data collection on app downloads, soil test sign-ups, and agrodealer registrations.
  • End-of-Day Reporting: Each county activation team to submit a performance summary.
  • Post-Activation Review: Evaluate success metrics and identify areas of improvement.

This activation is designed to drive high-impact engagement among smallholder farmers while increasing adoption of UjuziKilimo’s precision farming solutions. A structured approach to outreach, branding, and incentivization will ensure the achievement of key targets, positioning UjuziKilimo as a trusted agritech partner in Kenya.
